Fueled by the passion for discovery, the Project Manager is responsible for internal management of each project from planning to deliverable and is the hub for any project related information between account, creative, editorial, media, scientific, and technical departments.

The Project Manager is responsible for the overall internal management of multiple projects. Working within a cross-functional team, the Project Manager leads the development and maintenance of project schedules and deadlines, using available project management tracking programs, and has a proven track record with technology-based tools and projects. The Project Manager ensures delivery of a quality solution on time and within budget and is the first to raise their hand when scope creep occurs. Additionally, the Project Manager ensures efficient allocation of agency resources.  Full-time remote is considered.

Position Requirements

Education:

  • Bachelor’s degree, preferably in the health sciences, marketing, or communications field

Experience:

  • 3+ years of relevant agency experience
  • Proven experience in resource and timeline modeling to forecast project requirements 
  • Demonstrated traffic coordination and project management experience
  • Agency background in marketing, digital, and/or healthcare communications 

Position Responsibilities

Demonstrates behavior expected of a professional member of the organization, including but not limited to:

  • Project Management Systems
    • Open jobs within the project and time management system (i.e., WebVantage)
    • Demonstrate strong-working knowledge of such systems
  • Resourcing
    • Possess ongoing knowledge of workload for creative, editorial, digital, and medical departments to anticipate scheduling issues
  • Project Administration
    • Act as a liaison between all departments
    • Manage project workflow from planning through implementation
    • Serve as control hub for all project-related work and be intimately involved with day-to-day project details 
    • Identify and secure project resources
  • Reporting
    • Maintain and evaluate project progress through timelines and other tracking/analysis tools
  • Communication
    • Maintain effective communication with account and creative teams through oral and written correspondence, weekly and monthly project status reports, and presentations
    • Ensure adequate documentation of each communication 
    • Accept ownership of and facilitate internal project status meetings
  • Business Development 
    • Partner with Account team in the creation of SOWs to ensure scope is clearly defined and costs match what is outlined in project brief
  • Financial Oversight
    • Analyze financial status on jobs a minimum of two times per week
    • Be accountable for staying within agreed upon budget
    • Alert account manager of any changes to scope/assumptions/issues that arise on the project and work to create change orders as needed
    • Support account team at billings meetings
    • Oversee vendor/freelancer invoices

Talent & Knack

The candidate should possess the following knowledge, skills, and abilities:

  • Experience in resource and timeline modeling to forecast project requirements
  • Demonstrated experience with traffic coordination
  • Proficient in Excel, Word and PowerPoint a must; project management software (ie, Webvantage) knowledge a plus
  • Strong problem solving, negotiating and decision-making skills
  • Highly organized, detail oriented and able to handle multiple priorities and projects at one time
  • Strong verbal (including facilitation and presentation) and written communications skills, and capable of communicating to clients (when requested) and other suppliers the status of various projects
  • Ability to influence, motivate, and lead stake holders without authority to meet project deliverables and deadlines
  • Knowledge of processes for digital projects such as websites, HTML e-mails, and interactive media a plus
