The Project Manager is responsible for the management and timely execution of multiple client engagements. The Project Manager is a core member of each Project Team and not only serves as a client-facing resource but is also responsible for managing the internal team on day-to-day basis.

Working closely in conjunction with the Client Leads and Consultants for each project, the Project Manager will provide organization, structure, and direction to projects through strategic planning, resource forecasting, budget management, accurate task tracking, precise communication, consistent follow-up, driving adherence to project timelines, and contract compliance oversight. Attention to detail, time management, and thorough and professional written and verbal communication up skills are essential to success in this position. 

Additional responsibilities of the Project Manager include working with 1798 executive leadership to ensure adherence to company branding and style, utilization of company resources, contractors, and vendors to maximize project profitability, and maintain compliance with company policies across all organizational activities. It is expected that this position will require minimal supervision and will demonstrate the ability to work with the Project Lead to accurately forecast project requirements and development of a project execution plan to deliver on project requirements.

Duties and Responsibilities

  • Manage a portfolio and team of resources to ensure timely execution of client engagements through the creation of cross-portfolio project plans that include schedules with detailed tasks, resource allocation, progress tracking, Gantt charts, budgets allocation and tracking, and analysis of workload throughout the project life cycle
  • Manage simple to complex projects including Standard Fixed-fee Projects, ongoing Agency of Record accounts, Onsite Support, Retainer Accounts as shown in the next section of this description 
  • Manage workload of individuals on each team to ensure maximum resource utilization
  • Manage outsourced vendors and independent contractors including communication, budget management, and oversight
  • Conduct regular budget analyses including P&L statements, forecasting, and performance management
  • Create and assemble budgets and estimates for each project to achieve profit targets
  • Provide regular budget updates, burn rates, and financial projections to internal and external stakeholders
  • Review transactions for each project to ensure they are accurate
  • Conduct post-project analysis to ensure data for scoping future projects is up-to-date
  • Collaborate with executive leads, lead consultants, and creative team to ensure client deliverables and deadlines are met
  • Conduct regular status meetings to review timelines, resourcing, and budget as necessary
  • Develop detailed project plans and project schedules and make updates in appropriate and timely manners
  • Anticipate issues that may arise in the creation of client deliverables and develop appropriate contingency plans to ensure timely, profitable delivery of quality products to the client
  • Demonstrate understanding of Statement of Work for each project and contracted requirements; manage project to profitable compliance with objectives
  • Provide guidance to project team on research and client-related issues
  • Solve complex problems in a timely manner with minimal management oversight

  • Utilize project and document management system to ensure information access and collaboration across project teams
  • Collaborate with other Project Managers to ensure efficiencies across content development and resource utilization
  • Perform Quality Control check on all outgoing documents and maintain adherence to company branding, style, and performance metrics
  • Expertise and oversight of various client Legal, Medical, Regulatory Review Committees and ensuring adherence to all client-mandated trainings and processes
  • Cultivate strong relationships with clients and a robust understanding of client needs and appropriately prioritize client requests according to urgency and importance
  • Ensure all client communications are efficient and effective
  • Ensure roles and responsibilities are defined and maintained for each project team

Requirements and Experience                                               

  • Basic Requirement/Experience
  • Three or more years experience in a project management or client relations role including finance and accounting experience
  • Experience working in the pharmaceutical, medical device industries, or healthcare industries is preferred.
  • Advanced skills in Microsoft Office® products (Word, PowerPoint, Excel required; Project a plus)
