Executive Assistant to CEO

Saratoga Springs, NY

Fingerpaint is seeking a seasoned career executive assistant with 7 to 10 years of experience supporting a CEO and working with C-suite executives. In this role at our rapidly growing Saratoga Springs office, you will perform important administrative functions and handle occasional personal and family-related matters. 

You will report directly to the CEO and also have responsibilities under the CFO and Saratoga Springs managing director (travel, expenses, and calendar management). You will also have event management responsibilities to be coordinated with the receptionist and in-house travel booker/external travel agent as needed.

Duties/expectations:

  • Overall, you will ensure that the CEO’s business and personal matters are always in order
  • Maintain the CEO’s calendar, travel, and expenses
  • As needed, handle personal matters for the CEO: family travel, benefits, shipping of items, personal data management, miscellaneous items
  • Provide general administrative support for CFO and managing director
  • Various administrative functions that support our business, including many that require a high degree of responsibility and discretion
  • Skilled in Microsoft Office, specifically Word, PowerPoint, and Excel
  • Front desk relief on occasion/as needed when receptionist is out of the office
  • Ticket and booking administrator for the CEO when items are being given away or secured (Red Sox tickets, Saratoga Race Course box, concert tickets, Okemo condo reservations, etc)
  • Event planning/management

Must have direct past experience with:

  • Being the righthand support for a CEO or office president/managing director
  • Being comfortable engaging with senior executives
  • Managing and reconciling corporate credit cards for senior executives
  • Booking travel for multiple employees, as well as experience dealing with a travel agency vendor
  • Calendar management; knowing how to juggle a calendar, move items around as needed, and communicate effectively with all relevant parties
